How do I set up return reasons?

Here’s how to configure custom return reason codes to streamline your product return workflows and auto-fill restock values.

Overview:

Setting up return reasons in DigitBridge allows you to categorize why products are being returned—and control whether they’re restockable by default. These reasons show up in dropdown menus when creating product returns and help standardize return processing, reporting, and inventory handling.

You can configure these in:

ERP → Admin Tools → System Settings → Return Reason Settings


How to add a new return reason:

  • Go to Admin Tools → System Settings → Return Reason Settings.

  • Click Add Line to create a new reason.

The grid looks like this:

  • Enter the following fields:

    • Reason Code (short label like DEFECT or CHG_MIND)

    • Description (e.g. Product was defective or Customer changed mind)

    • Restock (explained below)

  • Use the toggles to categorize the issue:

    • Product Issue – e.g. defective, damaged

    • Shipping Issue – e.g. arrived late, wrong item sent

    • Price Issue – e.g. discount not honored

    • Other Issue – catch-all category

  • Click Save.

  •  Click Yes.

If you don't see these right away, refresh the screen. If that still doesn't work, log out and log back in.


What does the “Restock” field do?

This field sets a default restock quantity when the reason is selected during return processing.

It’s not a limit or rule—it’s simply a pre-filled value that users can manually adjust when processing the return.

Example:

If the return reason is:

  • “Changed Mind” → you might set Restock = 1 (because the product is likely resellable)

  • “Damaged” → set Restock = 0 (so the system assumes the item can’t be restocked)

💡 This is especially useful when customers return multiple units, as the system will auto-fill the restock quantity based on your preset—but the user can still override it as needed.
