How do I access and create email templates?
Here’s a guide for accessing and creating reusable email templates within DigitBridge.
DigitBridge allows users to create reusable, formatted email templates to streamline customer and vendor communications. These templates are especially useful for recurring transactions like sales orders, invoices, and purchase orders.
You can access and manage templates by navigating to:
Admin Tools > Customer & Vendor Settings > Email Template.
Creating and Managing Email Templates
From the Email Template Manager, users can build templates tied to specific email types such as "Sales Order Created" or "Invoice Sent."
To create a new template, click the Add button at the top right.
Template Info
This section allows you to:

Name the template
- Toggle whether the template is Active
Note: Only one template per email type can be active at a time. If you enable multiple templates of the same type, the most recently activated one will override the others.

Define the Type of email this template applies to (e.g., Sales Order, Invoice, P/O, etc.)

Add an optional Description for internal context

Create a Start Date and End Date, if needed, to limit the window of use

Template Detail
This is where you create the actual content of the email:

Add a Subject line

Compose the Body, using either plain text or the HTML editor

Insert Template Variables to auto-fill fields from the system (e.g., customer or invoice data)
Available variables include but are not limited to:

Balance
– Balance of the record -
CustomerCode
– Customer number -
CustomerName
– Customer name -
DueDate
– Expected due date of the order -
OrderDate
– Date the order was created -
OrderNumber
– Order reference number -
Terms
– Custom term duration field
Below are the variables available for Sales Order Created templates (for example):
Select the variable and click + Insert.
Tip: Variables can be used in the subject line of an email. The + Insert button will not work with your cursor in the Subject field. Put the variable in the body of the email template, then cut/paste it into the Subject field.
Note: There are many available variables depending on the selected email type. These fields pull from related records in the ERP system.
Once complete, click Save to apply the new template.
Click Yes.
