How do I create a manual ASN in DigitBridge?
CLIENT GUIDE: Here’s how to manually generate and send an Advanced Shipping Notice (ASN) to your WMS or trading partner.
An ASN (Advanced Shipping Notice) is used to notify your warehouse or trading partner of an upcoming shipment. While ASNs are often created automatically when shipments are generated in DigitBridge, there are cases—particularly with EDI workflows or third-party WMS systems—where you may need to create one manually.
This guide explains how to manually create and manage an ASN in DigitBridge.
📦 What is a Manual ASN?
A Manual ASN is a user-initiated document that includes all relevant shipment data—items, quantities, customer details, and tracking—prior to warehouse fulfillment.
It’s used to:

Notify your 3PL WMS or EDI partner of an upcoming shipment

Begin fulfillment in WMS systems that require ASN-first workflows

Ensure consistency across ERP, WMS, and customer-facing platforms
🛠️ How to Create a Manual ASN

Go to ERP > Sales > Sales Order Management

Search for and open the Sales Order you want to ship

In the upper right, click Action > Create ASN
📝 If you do not see this option, contact your admin to enable ASN functionality for your user role.

A new ASN will be generated and opened in a new window or tab

Review the prefilled shipment details:

Customer information

Items and quantities
-
Warehouse and shipping method

Requested ship date (editable)

Click Save
-
Then click Yes to confirm ASN creation
🚚 What Happens After You Create It

The ASN can now be transmitted to your WMS system or EDI trading partner depending on your setup

The warehouse can begin picking and packing based on ASN details

When the WMS completes the shipment, they will send back the shipment confirmation, which will automatically:

Create a shipment record in DigitBridge

Link it to the ASN and original Sales Order

🧠 Tips
🔁 A Manual ASN can only be created once per order. If you need to update it, you’ll need to cancel the shipment and recreate the ASN.
🛠️ ASNs are required in many EDI workflows, so make sure to include this step if your customer requires PO856 or ASN feeds.
