How do I manually adjust inventory? (ERP)

Here is where you will learn to make inventory adjustments in the ERP Module.

Now that your new item has been created (see: How do I create a style? How do I create a SKU?), it’s time to add some stock.

Note: If you use our Warehouse Management System, it is best practice to do this and any other manual inventory adjustments in WMS

In the event of a discrepancy in stock count, you can make an adjustment in ERP to resolve it. Go to Inventory > Inventory Adjustments.

The Inventory Adjustments List essentially functions as a log to keep track of all adjustments made to your inventory (how much there was, how much there is now, who processed the adjustment, etc.). Let's adjust some inventory now.

To see all inventory adjustments, click Apply in the upper right corner. Click Add when you're ready to start an adjustment. From here, you have two options: you can Adjust (add or subtract stock quantity), or Cycle Count (enter new stock quantities).

Tip: Keep this in mind for later - You don't have to enter the SKU. You can also enter the UPC or an item's Product Code into the SKU field and it will pull up the SKU you are looking for.

This applies if you are entering items one by one, or if you are pasting from a spreadsheet. If you are pasting from a spreadsheet, however, the column header must say SKU and not UPC or Product Code (even if you are using UPC or Product Code).

Adjust

Adjusting inventory will add or subtract from the current in-stock quantities. There are two different options here based on if you want to adjust many items, just a few (or one), or paste from a spreadsheet.

Bulk Item Adjustment

You will be taken to the Inventory Adjustments screen in Add Mode. Make sure the Type is set to Adjust, that the date reflects the day the physical inventory was added, and a warehouse is selected. When all that is complete, click Style Master.

In the Inventory Matrix, enter the Style Code and select the warehouse. Hit the Tab key or click anywhere outside of the search fields and the complete list of items should appear below with editable fields for each one. Click into the field next to Update in the Matrix, enter the number of units of that item, and either click into the next one or just hit the Tab key. Keep doing this until all the amounts are entered and correct. You’ll notice that as you add numbers in the Update field, the Count will automatically update.

Update = The quantity you are adding or removing from inventory

Count = The updated count that will appear once the adjustment is saved

In Stock = The current quantity in stock of that item

Caution: Please note that the number you enter in the Update Qty column will not be the new quantity. It is the amount that will be added or subtracted from the current quantity. Make sure to include a minus sign if you are decreasing the quantity.

Once this is complete, click Apply and the current SKUs will update.

Hit Close to exit out of the Inventory Matrix.

You will see your new Quantities have appeared - both the amount that was updated and the final count.

Warning: Don't forget to save your work when you're done!

Click Yes.

Back on the Inventory Adjustments screen, you will be able to see the adjustments you just made as well as any adjustments made prior. This is the same process you would follow to view Cycle Count history

Single Item Adjustment

While this works for items with multiple sizes/colors, there is a shorter way of doing this if you need to update a single item. From the list screen, click Add.


On this update screen, you will add an adjustment line by line. As before, make sure the General information is inputted. Under Inventory Items, type in the SKU you are adjusting, the amount by which you will be adjusting the quantity, and any other notes you need. Click Add Line to add any additional SKUs you'd like.

Update = The quantity you are adding or removing from inventory

Count = The updated count that will appear once the adjustment is saved

B4 INV = The current quantity in stock of that item

You can see that the Count Qty has adjusted to reflect the Before in Stock Qty plus the Update Qty

Click Save.

Click Yes.

Paste from a Spreadsheet

The third way you can input items here would be to paste values from a spreadsheet. In your spreadsheet, make sure you have columns for SKU and Update Qty. It is important that these headers match exactly with the column headers in DigitBridge.

Caution: Please note that the number you enter in the Update Qty column of your spreadsheet will not be the new quantity. It is the amount that will be added or subtracted from the current quantity. Make sure to include a minus sign if you are decreasing the quantity.

Copy these cells - including the column headers - and right-click in the grid under Inventory Items. Click Paste from Excel - Append Grid.

You will see your items populate below as they appeared in the spreadsheet, with the Count Qty (the updated count that will appear once the adjustment is saved) changing automatically.

Click Save.

Click Yes.

Cycle Count

A Cycle Count adjustment will reset the in-stock quantity of an item to whatever value you enter. There are two different options here based on if you want to adjust many items, just a few (or one), or paste from a spreadsheet.

Bulk Item Adjustment

You will be taken to the Inventory Adjustments screen in Add Mode. Make sure the Type is set to Cycle Count, that the date reflects the day the physical inventory was added, and a warehouse is selected. When all that is complete, click Style Master.

In the Inventory Matrix, enter the Style Code and select the warehouse. Hit the Tab key or click anywhere outside of the search fields and the complete list of items should appear below with editable fields for each one. Click into the field next to Count in the Matrix, enter the total number of units of that item, and either click into the next one or just hit the Tab key. Keep doing this until all the amounts are entered and correct. You’ll notice that as you add numbers in the Count field, the Update value will automatically update.

Count = The updated count that you are entering

Update = The quantity being added or subtracted that will update based on what you put in the Count field

In Stock = The current quantity in stock of that item

Warning: If you leave the Count field empty, it will tell the system that there is zero quantity of this item. Make sure that if you are not making changes to a particular SKU in this matrix that you enter the In Stock (the current amount you have) number into the Count field. As you can see in the image below, by leaving Count blank, the Update field defaults to whatever will result in the current count being zero.

Once this is complete, click Apply and the current SKUs will update.

Hit Close to exit out of the Inventory Matrix.

You will see your new Quantities have appeared - both the amount that was updated and the final count.

Warning: If you leave the field in the Count column blank, the system will think you are setting the new in-stock quantity to zero. If this is not your intention, make sure you enter something in the Count field.

You can see that the Update Qty has adjusted to reflect how much the in-stock quantity needs to increase or decrease to meet the new Count you just entered.

Click Save.

Click Yes.

Paste from a Spreadsheet

The third way you can input items here would be to paste values from a spreadsheet. In your spreadsheet, make sure you have columns for SKU and Count Qty. It is important that these headers match exactly with the column headers in DigitBridge.

Copy these cells - including the column headers - and right-click in the grid under Inventory Items. Click Paste from Excel - Append Grid.

You will see your items populate below as they appeared in the spreadsheet, with the Update Qty (the amount being added or subtracted from the current in-stock amount) changing automatically.
