How do I send an ASN via email from DigitBridge?
Here is a guide to manually send an Advanced Shipping Notice (ASN) to your trading partner or client via email from DigitBridge.
📧 What is an ASN and Why Email It?
An ASN (Advanced Shipping Notice) is a document that informs a customer or trading partner that a shipment is on its way. If your workflow doesn’t involve EDI or your partner hasn’t integrated into the system yet, you can manually email the ASN PDF from DigitBridge to ensure visibility and compliance.

This guide is for 3PL Providers or DigitBridge users managing outbound shipments who need to send ASN details manually—typically for clients not connected via EDI or for one-off confirmations.
📤 How to Send an ASN via Email

Go to the ASN List

In ERP, navigate to:
Shipments → ASN List

Search for the ASN

Use filters (order number, date, customer, etc.) to locate the correct ASN

Click into the ASN record to view details

Click “Send via Email”

At the top or within the action panel of the ASN record, click Send via Email

This will open an email template with the ASN PDF attached

Customize the Email (Optional)

Edit the subject line or message body if needed

Add or remove recipients manually (default will populate from customer contact settings)

Click Send

When ready, click Send

You’ll receive a confirmation that the email was successfully dispatched

Email Templates: Your account may have a default template set for ASN emails. You can adjust this under Admin Tools → Email Template Settings.

Security Tip: Make sure the recipient email address is correct. ASNs contain order and shipping information.

Want to automate this? Email toggles can be configured in System Settings > 3PL to auto-send ASNs upon shipment.

Need to re-send it? Just follow the same steps and click Send via Email again.

🔍 What is an ASN?
An Advanced Shipping Notice (ASN) is a document sent to inform a trading partner or client that a shipment has been created and is en route. It typically includes details like tracking numbers, quantities shipped, and expected arrival.
DigitBridge allows you to manually send ASNs via email to your 3PL client or their trading partner — even outside of full EDI automation. This is especially helpful for custom workflows or smaller clients not using EDI systems.
✉️ How to Send an ASN via Email
1. Navigate to the Shipment Screen
Go to ERP > Sales > Shipment Management, or wherever the relevant shipment record was created.
2. Locate the Shipment
Use filters or search fields to locate the shipment tied to the relevant Sales Order. You may want to filter by date, customer, or sales order number.
3. Open the Shipment Record
Click the line item to open the shipment details screen.
4. Click “Action” > “Send ASN Email”
At the top of the shipment record screen, click the “Action” button and select “Send ASN Email.”
📝 Note: You may only see this option if an ASN has already been generated for this shipment. If not, first create one using Action > Generate ASN.
5. Choose or Confirm Recipient

The system will auto-populate the email address from the customer’s profile (or the EDI contact).

You can override or manually enter another address as needed.
6. Review and Send

The email will include standard ASN details like shipment number, tracking number, carrier, and quantities.

You can optionally add comments or attachments (e.g., packing slips).

Click Send.

Your client will receive an email with the ASN information, and a record of the email will be logged under the shipment notes or communications history for audit purposes.
