When to use a quotation

Use a quotation when you:

  • Need customer approval before creating an order

  • Are negotiating terms, quantities, or pricing

  • Require internal review or manager approval before booking the order

  • Want a record of a proposed sale before it’s finalized

Quotations are non-binding and can be edited or cancelled without affecting inventory or financials.


When to use a sales order

Use a sales order when you:

  • Have customer approval to move forward

  • Are ready to allocate inventory and initiate fulfillment

  • Need to create invoices or shipping documents

  • Are not anticipating further changes to pricing or quantities

Sales orders are binding and impact inventory, shipping, and finance workflows.
