Best practices for importing sales orders in the 3PL Client Portal

CLIENT GUIDE: Here are some tips to ensure a smooth, error-free sales order import experience.

Overview

To help you avoid common errors and streamline your workflow, here are some key best practices for importing sales orders into the 3PL Client Portal. Follow these tips to ensure smooth uploads, clean data, and easy order verification.

✅ Before You Begin: Data Preparation

Use the official Excel template

  • Always start with the sample file: OutboundOrder - Sample.xlsx

  • This ensures column headers are correct and formatting is compatible

Know your field types

  • 🟨 Yellow fields are mandatory – Every row must include these

  • 🟩 Green fields are optional – Helpful for accuracy but not required

Clean up your data

  • Double-check for:

    • Missing required fields

    • Incorrect formatting (dates, numbers, etc.)

    • Extra blank columns or rows

    • Hidden characters or copy/paste issues

  • Delete any rows that don’t need to be imported

  • Remove any duplicate Customer PO numbers

📁 Importing the File

Keep imports small when testing

  • Start with a handful of rows to validate formatting before uploading large files

Monitor upload success

  • Check the import status after submitting

  • If you see “Error,” review the message for specific issues and re-upload after correction

Save the ERP Document Number

  • This number is generated upon successful import and used for all order-related activity

🔍 After Import: Verification

Verify in both 3PL Documents and Wholesale Orders

  • In the 3PL Documents screen: confirm import status and PO alignment

  • In Wholesale Orders: use either the S/O # or Customer P/O # to confirm details

Check order lines

  • Open the order and check that all products, quantities, and prices imported correctly

🚨 Troubleshooting Quick Reference

Issue Likely Cause Solution
File won’t upload Wrong format Save as .xlsx and check template
Error status Missing or invalid field Check mandatory fields and data types
Order doesn’t appear Import incomplete or filters applied Re-check 3PL Documents and Wholesale Orders screens
Product mismatch Incorrect SKU in file Verify against your SKU list

Bonus Tip

Keep a folder of previously successful import files—you can reuse formatting or reference field structures when making new uploads.
